Deadline for Reservations is January 31, 2019.

The conference will be held at Asilomar Conference Grounds in Pacific Grove, California. This 107 acre protected coastal state park is located on the Monterey Peninsula. With miles of trails that lead you along the beautiful coastline as well as through the park, it is the perfect environment in which to learn, share research, and meet with colleagues.

Reserve Housing

NEW FOR 2019!

Guest rooms will be reserved directly with Asilomar rather than when making your conference registration. Housing fees DO NOT include conference registration. A 100% advance payment is required. The total cost of your reservation (housing, meals, facility fee, processing fee and taxes) will be charged on the credit card provided within 24 hours of booking.

All fees listed below are per person and include five nights lodging, meals, taxes, and fees. Rates are only a 1% increase from 2017!

Room Type Fee Room Type Fee
Single $1,330 Triple* $775 per person
Double $895 per person Quad - 4 in room $715 per person

*Please note that the majority of triple rooms are created by adding a cot to a room with two single beds.

The housing fee is per person and includes five nights of accommodations and meals beginning with dinner on Tuesday, March 12 through lunch on Sunday, March 17. There will be no refunds for missed meals and/or early departures.

The housing fee does not include the meeting registration fee. You must register for the conference separately.

The largest configuration of rooms are double rooms, i.e. two beds.  All Asilomar rooms have private baths and complimentary wifi. The Asilomar Conference Center is a barrier-free access facility, and all persons with disabilities are encouraged to attend and will be accommodated.

If requesting a particular roommate, be sure that each of you request the other as a roommate(s) when you make the reservation. Roommates will only be housed together if all people involved request each other. If no roommates are listed, then assignments are placed by gender.

For triple or quad rooms with mixed gender roommate requests, please be sure all parties involved give a complete list. If a triple is requested with only one male and one female roommate then you will be assigned a double room and will need to pay the higher fee.

An electronic bulletin board will be available to facilitate finding a roommate in November. Registrants can post messages regarding what type of roommate they are looking for (male or female to share a double or triple room) and the participants will respond directly to the registrant.

Every attempt will be made to honor your housing request. Due to Asilomar room limitations it may be necessary to move you to a different rooming category, in particular if you choose a triple or quad room, you may be moved to a double room. You will be charged accordingly.

A number of people will be housed at hotels located across the street from Asilomar. The cost will be the same as staying on the Asilomar grounds. For those assigned to an overflow hotel, an Asilomar meal card will be given to the attendee when they check in at the Conference Registration Desk so that they can get their meals in Crocker Dining Hall.

If attendees choose to stay off-site they are required to pay the Asilomar daily facilities fee of $70 total - no refunds for late arrivals or early departures). In addition, attendees have the option of purchasing a full meal plan for $500, which includes the $70 facilities fee.

Extending Your Stay

Any attendee wishing to extend their stay beyond Sunday, March 17 should make a reservation at visitasilomar.com.

Housing Cancellations

If you must cancel your housing, please contact AsilomarSales@aramark.com immediately. Individuals who cancel after January 31, 2019 will not be entitled to a refund unless a substitution can be made.

Check-in

Check-in begins at 4:00 p.m. on Tuesday, March 12 in the Administration Building. Check-out is at 11:00 a.m. on Sunday, March 17.

Meals, Phone, Packages, and Parking

There are no phones in the rooms.

Asilomar will not receive nor hold shipments from internet vendors (i.e. Amazon) for guests attending a conference. If you plan on purchasing from these vendors, please coordinate with Tricord (tricord.net) at (831) 883.8600 or email Megan@tricord.net to arrange for temporary storage and pickup at certain fees. Asilomar is not responsible for any loss of incoming shipments.

If you plan to attend the conference but will not be staying at Asilomar, you must purchase either a meal plan/facilities fee pass or just a facilities fee pass. The meal plan/facilities fee includes dinner on Tuesday, March 12 through lunch on Sunday, March 17. The cost is $500. The facilities fee only pass is $70. As with the housing prices, the fees are for five days, and there are no refunds for late arrivals or early departures.
